  1.  New Passport

    The Government of India has introduced Machine Readable Passports (MRPs) w.e.f. 26th August, 2007. Under this system, passport applicants at Embassy of India, Jakarta should apply online on the web site (http://passport.gov.in/nri/). After filling in detail, a Web File Number  like IDNJ…….. and application form will be generated and can be printed by the applicant. In case, applicants are unable to get the print -out of the filled up form due to any reason, the same can be printed later by entering the Web file Number and Date of Birth.

    The printed application form along with required documents and fee may be submitted at the Consular Section from where it will be sent for printing at the Central Processing Centre of the Ministry of External Affairs, New Delhi as the Embassy does not have facility for printing Machine Readable Passports (MRPs). After printing of the passports, these are couriered back to the Embassy for signature and delivery to the applicants. This process may take four weeks. All applicants are advised to submit their applications at least 1 month in advance of travel in order to avoid inconvenience. However, in case of emergency, the Mission may issue handwritten Short Validity Passports (SVP) (valid upto one year from date of issue) in genuine cases (lost passports cases/ emergency) and the same need to be re-processed on the website for a new Jumbo MRP before expiry. SVP are not issued repeatedly.

    NRI Passport Applicants need to apply for Passport Services using Online Registration. This facility for NRIs is available on http://passport.gov.in/nri/ .Only the residents falling under the jurisdiction of the respective Mission/Post are eligible to apply online through this website. This service is not rendered to Indian nationals who are on visit visa or business trip. The applicants need to hold  valid Kitas/Kimas a copy of  which should be accompanied alongwith the application. 

    Please use Internet Explorer (5.x & above) for doing online registration. 

    You can apply on line for a fresh passport (only in case of  minors at birth), re-issue of passport (if your present passport of 10 years validity has expired or will expire in next 6 months), duplicate passport (if your present passport is lost or damaged). 

    Please don't use special characters while entering details in the online registration form. 

    The dates can be entered as per the format given in the website (DD/MM/YYYY). 

    Through this site you can register your application from JAKARTA. As all details are filled in press "SAVE" to get the file number and also the provision to take the print out of the application form. If you are not able to print the application form for any reason, you can get the copy of the already registered application using the "REPRINT FORM" option by supplying the file number. With the help of the file number and date of birth you can re-print the application form later. 

    In case you have registered wrong data, you have to register again with the correct details and get the print outs of the fresh file number

    Please follow the instructions as under to fill the form online.

    INDIAN MISSION

    SERVICE DESIRED
    You can choose one of the following services as appropriate:

    “Re-issue of passport” if validity of your present passport/additional booklet has expired or pages have been exhausted.

    “Passport of children up to 15 years” of age if the child is newly born.

    “New passport in liue of damaged/lost passport” if your present passport is lost or damaged.        

    SURNAME
    Surname is usually the last name or family title. Therefore,  enter your last name such as Singh, Gupta, Wenggeda Samy, Chawla, Shah etc. . In case you do not have surname, just write the given name.

    GIVEN NAME
    Enter the name as it appears in your passport. Makes sure to enter it correctly without making any mistakes, no abbreviation should be written and it should be expanded.

    PREVIOUS NAME
    If you have ever changed your name, please indicate the previous name in full. This will be applicable to a person who has even slightly changed the name or a lady who has changed her name/ surname subsequent to marriage.

    DATE OF BIRTH
    Enter in the format of DD/MM/YYYY.

    PLACE OF BIRTH
    In case born in India, please mention the name of village/town/city/state in India. If born outside India, mention the name of place and country. If born before partition of India, at a place which now falls within Pakistan or Bangaladesh, please fill the name of the place followed by country as “Undivided India”.

    ADDRESS TO BE PRINTED IN PASSPORT
    Please put your complete permanent address in India with PIN code. (Any change in the previous address should be supported with documentary proof of present address like Election card, Ration card, Bank statement or property paper)

    OTHER ADDRESS
    Your present address in Indonesia where you reside.

    SPOUSE/FATHER/MOTHER’S NAME
    The name of father, mother and spouse is to be entered in the respective colomns. Surname if any, in these columns should be mentioned after the given name. In case the applicant is unmarried, the given name may be filled up as not applicable. PLEASE WRITE THE FULL NAME AS ABBREVIATED NAMES ARE NOT ACCEPTABLE.

    If the applicant gets married, he can add his spouse name in the new application for reissue of  passport along with  Marriage Certificate (original & copy). In case of  Indian national married to Indonesian, the Marriage should be registered at Registrar Office in India and the marriage certifacter from Registrar office in India is only acceptable. In case the marriage is not yet registered in India, a copy of  their Marriage certificate from Indonesia after being attested from Indian Embassy may be produced before Registrar office in India for registration and later on apply for adding spouse name in Indian passport. Registration and adding spouse name after marriage is legally essential and not optional. Birth Registration upon birth of a baby service can not be given unless the name of the spouse is entered in the passport. In case of divorse, the spouse name should be deleted by providing divorce paper.

    PREVIOUS PASSPORT
    If you have held a passport or currently hold a passport, give details of previous passport. File number if any is generally given on the last cover page of the passport.

    CONTACT INFORMATION
    Please fill up the details carefully with complete postal address, telephone number, mobile number and email address.

    After completing the online application,click “Save”.

    Files which are registered online successfully for processing at Embassy of India, Jakarta will carry the file number  IDNJI00...  .

    Take the print of the file registered online. This will have a total of four (4) pages. Page(1) one and columns 5,6,8 and 10 on page two (2) are already completed by on online application form. You are required to fill rest of the form (several columns on page 2,3 and 4) by hand in capital letters.

    At the beginning of the application form, affixing one photograph, put your  signature in space given and thumb impression in case of  child who can not sign.

    PHOTOGRAPH
    As per the International Civil Aviation Organisation’s (ICAO) specifications/guidelines for issue of Indian passport, the specification of passport photo should be as follows:

    1. The image should be 2 inches by 2 inches; 
    2. The image must have adequate brightness and contrast; 
    3. The skin tone should be natural. In case of over-exposure or under- exposure of the photo, the skin is either too dark or too light, photo will not be acceptable; 
    4. It should show a close up of the head and (partial) shoulders; 
    5. The image should be straight looking, centered with neutral expression; 
    6. Face should be in sharp focus and clear with no ink marks/creases/lines; 
    7. The face (from forehead edge to bottom of chin) should be 70% to 80% of the photo or one inch height; 
    8. The eyes must be open and no hair obscuring the face; 
    9. Prescription glasses if worn should be clear and thin framed and should not have flash reflection or obscure the eyes; 
    10. Head coverings, hair, head-dress or facial ornaments should not obscure the face; 
    11. The photo must have plain light background; 
    12. There must be no other people or object in the photo; 
    13. The lighting must be uniform with no shadows on the face or behind; 
    14. Red eye photos are not allowed; 
    15. No lines are allowed.

    SIGNATURE / THUMB IMPRESSION
    Signature/thumb impression should be strictly within the box without touching the boundaries.

    Sign within the box provided for it on the first page
    Sign below column 26 (as a Declaration)
    Sign in the two boxes in column 29 on the last page as specimen signature

    If you are applying for “Passport for the minor children”, both the parents should fill up particulars in column 27 of page 3 and sign in  column 28 on page 4
    The child’s signature to be taken on the specimen space given at column 29.  If your child cannot sign, you should affix his/her thumb impression in the boxes appearing on pages one(1) and page(4) of the apllication.  Thumb impression should be of left hand in case of males and right hand in case of females. In case of minor applicants, parents should NOT sign in the boxes, both on page one(1) and page four (4) para 29.

    IMPORTANT NOTE: ALL ORIGINAL DOCUMENTS ARE TO BE SHOWN AT THE TIME OF SUBBMISSION OF THE PASSPORT APPLICATION FORM AND SELF ATTESTED COPIES OF ALL REQUIRED DOCUMENTS NEED TO BE ATTACHED WITH THE APPLICATION.

    When you get a new passport, your old passport will be cancelled and returned to you. Visas if any, in the old passport are still valid until the date of expiry. An endorsement to this effect will be made in your new passport. You will have to carry both the passports together to travel using the visa in the old passport. Some of the countries insist the visa to be transferred on the live passport for which you have to contact the concerned embassies before you travel to those countries.

    IT IS THE ULTIMATE RESPONSIBILITY OF THE INDIVIDUAL TO CHECK THE STATUS OF PASSPORT IN CASE OF ANY DELAY AND COLLECT THE PASSPORT IN TIME. 
    OLD PASSPORTS SHOULD BE SUBMITTED FOR CANCELLATION WHILE COLLECTING NEW PASSPORTS. CANCELLED PASSPORTS HOLDS VALID VISA. IT CAN BE CARRIED ALONGWITH OLD PASSPORT.

    DOCUMENTS TO BE ATTACHED

    For reissue of a passport attach:  
    (a)  Old passport(s) in original with self-attested photocopy of its first two and last two pages including that of  address. If having additional booklets issued earlier please bring all booklets starting from the original passport to which the pages have been added.
    (b) Stay Permit (KITAS/KITAP) of Indonesia  
    (c) If there is any change in address, attach one of the following documents 
     Applicant’s Election Commission ID card/ Driving Licenses/ration card/ water /telephone /electricity bill/statement of running bank account/Income Tax Assessment Order /, Gas connection Bill, Property Documents such as Pattas, Registered Deeds etc.; Arms Licenses, spouse’s passport copy, 
     (d)  If the old passport does not contain spouse name, copy of marriage certificate issued by the Registrar of Marriage and passport of husband/wife 
    (e)   In case of  minors, copy of  minor’s passport, both parent’s passport copy and kitas copies of each

    All the copies should be enlarged to full page including Passport and kitas instead of cutting into small sizes. 

    At the beginning of the Application Form there are boxes for affixing photograph, appending signature and thumb impression. Recent passport size photographs (Four) in colour showing frontal view of full face are required. One photograph is to be pasted on form and three are to be attached with the PP form. Black and white photograph, photograph with coloured or dark glasses, dark background or in uniform, polaroid prints or computer prints will NOT be accepted. The colour photographs should have a light background (preferably white) and should show the full face of the applicant frontally. In the box meant for affixing the photograph, please paste your recent and identical colour photograph of size 4 cm x 4 cm. Photograph should fit exactly in the box and in any case not smaller than the box provided in the form. For Jumbo booklets, two additional photographs are required. The photograph on First page of the form is NOT to be signed. Signature/thumb impression should be strictly within the box without touching the boundaries. Thumb impression should be of left hand in case of males and right hand in case of females. (Blue/ Black ball pen to be used for signatures). In case of minor applicants, parents should NOT sign in the box. 
    There are still some columns in the application form which you will have to fill by hand. You will have to visit the nearest Mission/Post to submit the completed application form along with fee, supporting documents such as copies of previous passport(s), residence/stay permits, documentary evidences regarding change in address, marriage certificate, birth certificate etc. on the appointed day and time. Please do not forget to bring all relevant documents in original for verification. Applicants residing in Indonesia may bring completed application form with all relevant enclosures at the Consular Wing of Embassy of India, Jakarta on working days (Mon – Fri) between 0900 to 1200 hrs.

    • Your passport is a valuable document. It should always be either in your own custody or in the custody of a person duly authorized by you. Passports should not be sent out of the country of residence by post. If lost or destroyed, the fact and circumstances should be immediately reported to the Indian Mission and the local police.
    • It is an offense under the Passports Act 1967 to give false information in the Application. Passport facilities can be denied on grounds of suppression of factual information, submission of false particulars, willful damage of passport and for making unauthorized changes in the passports.
    • Your passport can be impounded or revoked by the Government of India under the provisions of the Passports Act 1967 in which event you will have to surrender the passport to the nearest Indian Passport authority.
    • If you have acquired Indonesian Citizenship, please surrender the Indian passport to the Indian mission. The Indian passport is returned to the applicant after cancellation and a Surrender Letter is issued. The cancelled Indian passport should be kept in safe custody as it may be required at the time of applying for the PIO card.

    Print out of online application forms should be filled in fully, accurately and submitted with the passport. The application must be signed by the applicant himself. Misrepresentation/ suppression of the facts may result in denial of passport/consular service. Incomplete/incorrect applications, applications with inadequate fee and the fee not paid in the prescribed manner will be returned without any service. PLEASE KEEP A PHOTOCOPY OF YOUR PASSPORT IN A SAFE PLACE. WITHOUT THESE DETAILS, THE ISSUE OF A DUPLICATE PASSPORT MAY BE DELAYED.
    IT MAY TAKE MORE TIME TO PROCESS THE PASSPORT APPLICATIONS IN CASE WHERE CLEARANCE IS ARE AWAITED FROM MISSIONS ABROAD/ RPOs WHERE CLEARANCE IS NOT READILY AVAILABLE. APPLICANTS ARE ADVISED TO CHECK WITH EMBASSY ABOUT THE STATUS OF THEIR PASSPORT.

     

    NOTE: These are general guidelines. In case of any other requirements that are needed to be fullfilled by the applicants the same will need to be provided.
